REPORTS TO: Reimbursement Account Specialist Supervisor LOCATION: Missoula FLSA STATUS: Non-ExemptnnPOSITION RESPONSIBILITIES:nThe Reimbursement Account Specialist is responsible for maintaining accurate and complete eligibility information electronically by participant and manually by company. The incumbent will interpret group summary plan descriptions to assist plan participants and client contacts on all questions that pertain to flexible benefits. The Reimbursement Account Specialist will also assist flex plan participants and clients with questions pertaining to flexible benefits in accordance with the regulations outlined in Section 125 of the Internal Revenue Code. They are also responsible for processing and keeping accurate balances of flex deposits on clients' accounts. nnThe incumbent is expected to communicate professionally with peers, supervisors, subordinates, vendors, customers, and the public, and to be respectful and courteous in the conduct of this position.nnESSENTIAL JOB FUNCTIONS:nEssential job functions include the following. Other functions may be assigned as business conditions change.nnnEnrolls new plan participants in the claims processing system and updates these records for coverage changes and terminations.nSets up client parameters to pay claims as elected.nCoordinates enrollment with debit card vendor and timely requests of debit cards. Enrolls participants in debit card coverage.nMeets or exceeds company standards for production and quality (enrollments entered no later than 3 days of receipt, 99% accuracy).nTracks participation levels for each client company. nRequests additional information regarding eligibility from client contacts as needed.nEnters changes in flexible spending accounts as received by client company contacts.nIssues confirmation reports to flex plan participants.nAnswers customer service telephone calls and e-mails regarding enrollment / accounting issues; adheres to standards for turnaround time returning voice mails and e-mails (see attached).nUpdates plan participant address information as received.nSends supplies to clients as needed for annual re-enrollments.nEnters and updates direct deposit information as received from the participant.nPulls check registers, payroll reimbursement contributions, HRA contributions and HRA requests upon assigned schedules.nCommunicating with clients regarding funding issues as necessary.nCalls or e-mails clients to resolve any discrepancies.nContributes to the daily workflow with regular and punctual attendance. nnnASSIGNED DAILY JOB FUNCTIONS:nnNON-ESSENTIAL JOB FUNCTIONS:nnMay be required to travel to client sites for enrollment fairs to assist plan participants in the initial enrollment process.nPerforms related or other assigned duties as required or directed.nnnSUPERVISION EXERCISED:nNone.nPHYSICAL WORKING CONDITIONS:nPhysical requirements are representative of those that must be met to successfully perform the essential functions of this job. Must be able to adapt to software changes as they occur.n Ability to learn all functions of the flex claims processing software program and adapt to software changes as they occur.n Ability to learn flexible spending account regulations as defined in Section 125 of the Internal Revenue Code.n Strong mathematical skills.n Ability to enter data with accuracy and precision.n High level of interpersonal skills to work effectively with others.n Ability to organize and recall large amounts of information including interactions with employees, agents, plan participants and clients.n Ability to read, analyze and interpret benefit summary plan descriptions, insurance documents and regulations.n Ability to project a professional image and positive attitude in any work environment.n Ability to comply with privacy and confidentiality standards.n Ability to analyze and solve problems with professionalism and patience, and to exercise good judgment when making decisions.n Ability to operate typical office equipment.n Working knowledge of general office procedures.nnnnnThe above statements are intended to describe the general nature and level of work being performed.
